How much does an online restaurant ordering system cost?
The price follows menu rules, fulfilment methods, payments, venue operations and integrations rather than screen count. The safest estimate defines the first working release and separates later development.
First choose between platform, integration and custom software
An established platform is sensible when the venue needs a standard menu, payments and collection, and accepts the subscription or commission. Integration is useful when the current system works but needs to connect to the website, CRM or another channel.
Custom software becomes relevant for unusual product variants, several locations, owned delivery zones, a distinctive checkout, loyalty, reporting or integrations a standard product cannot support. Custom is not a cheaper SaaS substitute; it purchases flexibility and control.
A focused MVP scope
The first release should complete an order: location or fulfilment selection, menu, product configuration, cart, customer data, collection or delivery, payment or agreed settlement, confirmation and a venue view.
SiteSpark's indicative range for booking or ordering systems is PLN 8,000–18,000 net. It is not a guaranteed price for every project. Multiple locations, advanced logic and integrations can move the scope above that range.
- one source for menu and availability data
- the happy path plus payment and order failures
- a simple panel for acceptance, preparation time and status
What usually increases the budget
Every integration requires documentation, test access and error handling. A POS logo does not mean its API exposes every operation required. Delivery zones, several price lists, stock synchronisation and a driver application also increase cost.
The second cost group is exceptions: an unavailable item after cart addition, a closed venue, failed payment, cancellation, refund, changed preparation time, unavailable driver or lost connection. Operational software must remain predictable outside the ideal path.
- locations, menus, price lists and delivery zones
- POS, KDS, printers, delivery, CRM or loyalty
- promotions, coupons and time-based rules
- data migration and synchronisation across systems
Ownership cost after launch
Custom software needs hosting, monitoring, backups, dependency updates, incident response and testing after third-party changes. Payment fees, SMS or email, maps, geocoding and usage-based services are additional.
Before estimation, define data ownership, repository access, deployment, service level, response time and an emergency procedure. A cheap build without a maintenance plan can cost more than a well-selected subscription.
Information required for an estimate
Collect the current menu with variants and add-ons, locations, hours, fulfilment methods, zones, payment provider, current POS and a description of what staff do after receiving an order. Follow one real order from phone to fulfilment.
A strong estimate separates MVP, integrations, optional work, third-party costs and maintenance. It also records assumptions that have not yet been verified in documentation.
